Circles AI

Proposed Billing, Refunds & Cancellation Policy

Current account deletion uses a 30-day recovery period with a displayed cancellation deadline. Keep backups is default; only explicitly reviewed eligible snapshots are included if chosen. Shared company records, other backups and external copies remain. See the current Privacy Notice for the operative scope.

1. What is available now

Only Free can currently be selected. Paid checkout, subscription collection and prepaid-credit purchases are disabled. Circles AI does not currently request or collect payment-card details or charge a subscription through this product. Free is not an auto-converting trial and does not authorize a future charge.

2. Three different AI funding concepts

Your own API key. OpenAI bills the separate provider account associated with your key. Those charges are not Circles AI subscriptions or credits and are not refundable by us. Check your provider spending limits. Circles AI does not silently switch a failed provided request to your personal key.

Included or administrator-provided monthly allowance. This is a limited service entitlement, not purchased money or a transferable asset. Any included plan allowance expires at the displayed cycle end; unused allowance does not roll over and has no cash redemption. A platform/business administrator's USD or token budget is a safety cap, not necessarily a promise that the same amount has been granted for consumption. Access, models and grants must also be available.

Purchased prepaid AI credits, when activated. These are a nontransferable contractual right to consume eligible Circles AI AI features. They do not expire merely with time or because a monthly allowance resets. They are not cryptocurrency, an investment, a bank deposit, a general-purpose payment instrument, or a right to trade, transfer or withdraw money. “No cash value” does not remove a refund payable under this Policy or mandatory law. Credits are not redeemable for another user's API charges or another merchant's goods.

The metering unit is an integer Circle. Under proposed pricing version circles-cost-v1, one Circle corresponds to USD 0.0001 of measured provider usage cost for this service calculation. A request consumes that measured cost divided by USD 0.0001, rounded upward to a whole Circle. For example, a known provider cost of USD 0.00123 consumes 13 Circles. Model rates and input/output type affect consumption; a Circle is not one model token, and a pack is not a guaranteed number of words, images, calls or completed tasks.

The retail pack price is different from its underlying provider-cost equivalent and includes the platform's service pricing. Pack sizes have different prices per Circle. A USD 10 pack contains 50,000 Circles, not a USD 10 cash balance or 100,000 Circles. Do not advertise these as OpenAI API credits, savings deposits or a transferable dollar wallet.

3. Future checkout and delivery disclosures

Before placing a paid order, the checkout must show the seller, plan/pack, currency, total price and applicable taxes, any discount and its duration, payment frequency, automatic-renewal amount, next billing date, included limits, withdrawal/refund terms and cancellation route. If a plan uses multiple seats/businesses, the quantity and unit price must be explicit. No prechecked recurring-charge, credit auto-reload or optional add-on consent is permitted.

Payment details, if checkout is enabled, will be collected by the named payment provider through its approved payment flow. We will identify that provider before collection and describe the billing metadata retained by Circles AI. We do not currently claim PCI certification or that outsourcing removes all merchant obligations. Never send a full card number, CVV, password or recovery code to support.

4. Usage, reservations and uncertain outcomes

Before an eligible provided-AI request, the service may reserve part of an available allowance or credit balance. A reservation reduces available capacity temporarily; it is not proof of a completed consumption charge. Confirmed usage settles against the applicable rate, releasing a known unused reservation. Provider-billed input, transcription or partial generation can incur usage even if the requested business outcome is unsuccessful.

A service-credit reversal is separate from a payment refund. Reversed units return to their original grant/lot and original expiry: expired monthly units do not become newly spendable or nonexpiring through reversal. Purchased units remain nonexpiring. An administrator's manual grant is labeled as a grant, not a purchase; unknown provider usage remains reserved until it can be reconciled. Neither a grant nor an internal reversal means that OpenAI or a payment provider refunded money.

5. Renewal, cancellation and changes

A future monthly subscription renews only as explicitly authorized in its order. Before activation, the checkout and account must display the renewal anchor, time zone and actual next charge date; a calendar month is not always 30 days. Renewal reminders, trial/price-change notices and renewed consent must be supplied where required. Free users will not be enrolled automatically. A failed payment does not authorize undisclosed retries or new fees.

Uninstalling the Android app, disconnecting AI or removing a local account does not itself instruct a payment provider to cancel a subscription. Conversely, account deletion must not leave an undisclosed recurring subscription running: implement an explicit cancellation/confirmation step before paid account deletion. Cancellation does not automatically delete CRM data, and deletion is not the same as cancellation. If an app-store purchase is later supported, clearly identify that channel and its cancellation/refund process without misrepresenting the seller's remaining legal duties.

6. Refunds and mandatory rights

There is currently no Circles AI paid order to refund. These proposed rules must be approved and implemented before payments begin.

Mandatory rights come first. This Policy does not remove refunds or other remedies for unauthorized/duplicate charges, non-delivery, defective or nonconforming digital services, misleading descriptions, unlawful renewals, statutory withdrawal, or another protected reason. A term saying “all sales final” cannot override those rights. Cancelling a renewal and requesting a refund for a past charge are different requests; customers may make either or both.

Where a consumer withdrawal right applies, explain it before purchase and provide the required method/form. EU/EEA distance-contract rules commonly provide a 14-day withdrawal period, but services and digital content have different early-performance/loss-of-right conditions. Merely logging in, buying credits, accepting these Terms or ticking a general privacy checkbox does not waive those rights. Obtain any legally required express request/consent and acknowledgement separately, provide durable confirmation, and charge proportionately for early service only where permitted. Country-specific mandatory protections may be more favorable.

If we permanently discontinue the relevant paid service and cannot reasonably provide the contracted remaining access or permit use of unused purchased credits, we will refund the unprovided prepaid subscription portion and unused purchased amount, except to the extent a lawful restriction prevents payment. A security/sanctions investigation does not automatically turn paid value into a penalty. Nontransferability and no-cash-withdrawal wording do not defeat this remedy or statutory cash-out/refund rules.

7. Taxes, currencies and evidence

Keep your order confirmation and cancellation/refund reference. We retain proportionate purchase, consent, usage and adjustment records for the approved legal/accounting retention period, with restricted access. The Privacy Notice and approved retention schedule must state that period before paid launch. No charge, invoice history or credit balance should be fabricated while checkout remains disabled.
